Privacy Notice
Zak Zavada Photography respects the privacy of students and families participating in school portrait programs.
This notice explains the kinds of information involved in the portrait process and how that information may be used.
Information We May Receive or Collect
The applicable school may provide information needed to organize picture day and the private galleries, including:
- the student's name;
- student identification number;
- grade or homeroom; and
- parent or guardian email address.
Additional information may be provided by a parent or guardian during registration, gallery access, checkout, or customer service. This may include:
- name and contact information;
- an optional phone number when offered;
- billing and shipping information;
- order information; and
- support or customer-service communications.
Student photographs and private gallery access information are also part of the portrait workflow.
GotPhoto and related services may collect technical information associated with gallery access and ordering.
Payment-card information is processed through Stripe as part of the GotPhoto checkout process and is not stored directly by Zak Zavada Photography.
How We Use Information
Information may be used to:
- organize picture day and private student portrait galleries;
- match photographs with the correct student and homeroom;
- provide families with private access to their student's portraits;
- notify families when portraits are available and send relevant gallery or order reminders;
- process orders and arrange school delivery or home shipping;
- provide customer support and resolve portrait or order problems;
- provide the school with requested student portrait files for authorized school purposes; and
- maintain necessary business, financial, and operational records.
Schools and Service Providers
Information may be shared when reasonably necessary to provide the school portrait service.
This may include the applicable school and service providers involved in gallery hosting, payment processing, professional print production, image editing and processing, communication, delivery, accounting, or legal compliance.
Zak Zavada Photography does not sell student or guardian information.
Student Photographs and Studio Marketing
Participation in picture day or purchase of photographs does not give Zak Zavada Photography permission to use a student's photograph in public studio advertising or marketing.
A student's photograph will not be used publicly for studio marketing without separate permission from a parent or guardian.
Messages and Communication Choices
Parents or guardians may receive gallery, ordering, and service-related messages using contact information provided by the school or supplied during registration or checkout.
When GotPhoto presents consent or communication choices, parents and guardians may make those selections as part of the registration or gallery-access process.
Available unsubscribe and communication-preference options may be used to stop applicable future messages.
Retention
Information is retained for as long as reasonably needed to provide the portrait service, support orders, maintain required business and financial records, preserve the studio's photographic archive, honor communication preferences, and meet legal or operational obligations.
Public or buyer-linked gallery access may end according to the gallery's stated schedule even when photographs or required business records remain securely retained.
Service providers may retain information according to their own legal, operational, and security requirements.
Security and Private Access
Zak Zavada Photography uses reasonable organizational and technical measures intended to limit unauthorized access to student galleries and related records.
Parents and guardians should keep private gallery access codes from being posted or shared publicly.
No online service can be guaranteed to be completely secure.
Access, Corrections, and Deletion Requests
A parent or guardian may contact Zak Zavada Photography to ask a question, report incorrect information, or request access, correction, or deletion where applicable.
We may need to verify the identity and authority of the person making the request. Certain records may need to be retained for order fulfillment, accounting, dispute resolution, archival, or legal obligations.
